- “I need 8 bolts.” Eight what? Diameter or length? Grade 8.8 or plain? Galvanised or black? Five questions before pricing even starts — each one a separate WhatsApp round trip.
- The item is out of stock. There is an equivalent on the shelf, but the new employee does not know it is equivalent — so he says “we don't have it”, and the order walks to another shop.
- The price depends on the quantity. By the piece, by the box, and a discount tier above a thousand. The employee prices from memory, so the same customer gets a different price from a different employee.
- A contractor sends a long list. Thirty line items as a photo or a spreadsheet, and he wants the quote today. Pricing it by hand takes two hours — so it gets postponed, and the contractor moves on.
- Selling on credit. A long-standing customer takes the goods and says “put it on my account”. Three months later nobody remembers exactly how much is owed or when he promised to pay.
What the five have in common: the knowledge exists in the shop — but in a person's head, not in a system. So it disappears when they travel, and has to be rebuilt every time someone new joins.
