The problem isn't WhatsApp — it's what comes after
WhatsApp is excellent at receiving a customer. The trouble starts after the message: who quotes? when? where was the order written down? who chases the payment? On a day with thirty conversations, an order doesn't get lost because someone slacked — it gets lost because nothing carries it from one square to the next.
So the goal isn't "a bot that replies to customers". The goal is a whole path: every message becomes an order with a number, and every order moves until it closes — with your staff stepping in only at the moment that genuinely needs a person.
The whole path, step by step
This is the shape of the first path we usually build. Not every business needs all of it, and we rarely build all of it on day one.
- The message becomes an orderThe customer's message is read and classified: a price enquiry, a new order, a follow-up on an existing one, or a complaint. A record is opened with a number everyone can track.
- The customer is recognised by their numberThe number itself links the conversation to the customer's file: past orders, agreed prices, outstanding balance. So a returning customer is never asked "who are you?".
- The quote writes itselfThe requested items are priced from your approved list, a PDF quote is issued under your business's name, and it reaches the customer in the same conversation. You can require your own approval before it goes out.
- Approval opens the orderA "yes" from the customer turns into a sales order in your system, not another message waiting in someone's queue.
- Invoice and collection follow behindThe invoice is issued and delivered, and the payment reminder sends itself on schedule — politely, and without anyone having to remember.
- Whatever stalls raises its handAn order that hasn't moved in two days, a quote nobody answered, a late invoice: each surfaces as an alert instead of being discovered a month later.
- Your daily report comes to youEnd of day: how many quotes went out, how many orders came in, how much was collected, what's still open. One message, without calling anyone.
What do you need to start?
Your existing business number is usually enough. The connection is through the official WhatsApp Business platform — not a cracked client that gets banned in a month.
Excel is fine. The only requirement is a single source for the price — automation exposes contradictions rather than hiding them.

The path is built on your business's own accounts: your WhatsApp number, your system, your data. Your data stays entirely yours and encrypted, each employee reaches only what their job needs — and we never use it for anything else. That is written into our agreement.
